About the Role

We are hiring a part-time Executive Administrative Assistant to support senior leadership at our West LA headquarters. This role is ideal for a seasoned professional with a proven track record of providing executive support, managing calendars and communications, and coordinating cross-functional operations.

The position is on-site and requires a minimum of 5 years of experience in executive or administrative roles. This is a high-trust, high-autonomy opportunity for someone who can stay one step ahead of the details, organize the chaos, and keep leadership focused.

Responsibilities

Executive Support & Coordination

  • Manage and optimize executive calendars, priorities, and meetings
  • Coordinate logistics for internal and external meetings, calls, and travel
  • Draft, organize, and send professional communications on behalf of leadership
  • Track action items and support meeting follow-ups across teams and partners

Finance & Bookkeeping Support

  • Track business expenses and organize supporting documentation
  • Assist with monthly reconciliations, vendor invoicing, and payments
  • Organize receipts, reimbursements, and P&L categorization for accounting
  • Support light reporting and coordination with external accounting partners

Administrative & Operational Support

  • Organize internal files, SOPs, and workflows (Google Drive, Notion)
  • Assist with in-office operations: receiving packages, managing inventory, vendor comms
  • Handle errands, returns, light shipping, and occasional appointment booking
  • Maintain confidentiality and act as a point of coordination for internal teams

Project Management Support

  • Track deadlines and flag upcoming priorities for executive review
  • Help with simple documentation, process updates, and internal communication
  • Support ad hoc projects across ops, marketing, and CX as needed

Qualifications

  • Minimum 5 years of experience in administrative, executive assistant, or chief-of-staff roles
  • Excellent written and verbal communication
  • Strong attention to detail, discretion, and follow-through
  • Technically confident: Google Workspace, Slack, Notion, Airtable familiarity preferred
  • Reliable, punctual, and comfortable working in a lean, high-trust environment
  • Must be located within commuting distance of West LA and able to work on-site
  • Must be authorized to work in the U.S. (no CPT, OPT, or sponsorship available)
  • Experience in Finance and Bookkeeping preferred

Compensation & Details

  • Part-time hourly role : 20–30 hours per week
  • Compensation : $23+/hour depending on experience
  • Schedule is consistent but can offer flexibility within core working hours
