Role Overview

Blue Heron is seeking a highly motivated and detail-oriented candidate to join our team as an Office Manager and Administrative Assistant. This person will be responsible for day-to-day office operations, performing administrative tasks in support of senior management and firm operations, and coordinating certain human resources functions. This full-time role is based in Blue Heron’s Raleigh, NC office.

Key Responsibilities

Office Management: 

  • Maintain a well-organized and efficient office environment
  • Manage the ordering and organization of office supplies, equipment, and office food and beverage
  • Coordinate with third-party IT and other vendors
  • Effectively process phone calls, messages, firm emails, and incoming and outgoing mail and deliveries, ensuring proper action and follow-up steps are taken
  • Schedule and coordinate select meetings, appointments, and travel arrangements
  • Prepare the office for in-person meetings with investors and other partners

Administrative Support:

  • Provide administrative support to senior management and other team members
  • Assist with preparation of certain materials, presentations, reports, etc. 
  • Coordinate logistics and arrangements for meetings and travel
  • Assist with the planning and organization of company events, including the annual investor meeting 

Human Resources Coordination: 

  • Assist senior management with the recruitment process, including posting job openings and scheduling interviews
  • Coordinate employee onboarding and offboarding processes, including the completion of forms, benefits, employee documents, etc. and setup of technology and company systems
  • Assist with administration of employee benefits programs and general employee inquiries

Candidate Qualifications

  • ­2-5+ years’ experience in office management or a related role
  • ­Bachelor's degree or Associate’s degree with relevant experience preferred

Candidate Core Competencies

  • Exceptional organizational and time-management skills
  • ­Excellent business writing, communication, and interpersonal skills
  • ­Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • ­Ability to handle confidential information with discretion
  • ­Ability to multitask and prioritize effectively
  • ­Superior attention to detail
